Our new product registration database is expected to go live on Wednesday 11 June 2025 AEST. The upgrade is to replace the old database originally built in 2008, with a secure modern system with improved functionality for all users.
Benefits of the new system
- improve user experience when applying for product registrations
- automated validation of WaterMark certification for plumbing products on registration and renewal
- uses modern ICT platforms that will improve data security
- streamline registration renewal and model editing processes
- shorten assessment timeframes
- support industry to get products to market sooner.
Assistance with the transition
More information about the new system, benefits, user manual, and training materials will be available on this webpage as we progress.
Changes to expect
WELS registration services will be interrupted from Wednesday, 4 June 2025 AEST to 11 June 2025 AEST to migrate data from the current database to the new database. Applications in progress will be copied from the current system to the new system.
During this time, the current database will be read-only.
You will be able to log in, view your records, and access the WELS public register, but you will not be able to make or save any changes. The WELS Registration team will not be able to assess applications until the new product registration database goes live.
What we need from Registrants before the new system goes live
Update your contact information and remove inactive or duplicate contact details
- Before Wednesday 4 June 2025 AEST please ensure all user information, especially user email addresses under “Organisation Contacts,” is correct and please remove any inactive or duplicate contacts.
Pay all outstanding invoices before 3 June 2025
- To ensure a smooth data migration, we will refuse all applications with outstanding invoices on Tuesday 3 June 2025 AEST. We will continue to assess and approve new product applications until the migration starts.
- If your application triggers a new tier and bridging fee, we will contact you to check if you will pay an invoice prior to migration or wait until the new system is live. Please note that failure to pay an invoice will result in the refusal of the application and will require a new submission when the new system is live.
You can submit model edit applications that are urgent until 30 May
- The new system manages model edit applications differently and all in-progress model edit applications will be deleted before the data migration.
- Please limit model edit applications to urgent changes. Applications received after 30 May will not be actioned and will be deleted. We aim to complete all model edit applications submitted up to 30 May.
- The following statuses will be deleted:
- Uncommenced
- Draft
- Submitted
- Returned
- Recommended for Approval
- Recommended for Rejection.
Once the new system goes live
New database web address
The new system will have a new web address (URL) for both the WELS public register and the registrants sign-in page. We will provide the new URL via email once the system is live. You will also be able to navigate to the URL from the Water Rating site.
Apply for a new account
You will need to sign up for a new account using your email address as your username.
If you have access to multiple WELS organisations, you will be able to access all of them with one username.
We will provide you with instructions via email on how to create your account once the system goes live. The instructions will also be published on this page.
